Overview

Responsibilities:
Screen and direct incoming calls and emails.
Coordinate access to Supervisors by maintaining schedules and organizing meetings, conferences, and teleconferences.
Act as a liaison between the Supervisors and a wide array of internal and external contacts including senior management, outside industry contacts, artists, artist managers, internal departments, etc.
Coordinate travel, entertainment and transportation arrangements for Supervisors and possibly other staff members.
Prepare business expense reports in a timely, accurate and efficient manner.
Coordinate and draft correspondence and presentations using MS Word, Excel, and PowerPoint.
Maintain mailing and e-mail lists, databases, files and other assets for the department.
Order and maintain music product, office supplies and tickets for the department.
Enter PO’s and process invoices in a timely manner.
Pull information daily from Mediabase, Soundscan and other sources and create and distribute daily/weekly and monthly reports (including radio recaps) to the Company.
Work with the other department assistants and coordinators to update and populate the intra company web site.
Mailing promotional materials to radio stations around the country.
Processing requests for product giveaways and contests from radio stations.
Make sure department is adhering to the standards of conduct and compliance guidelines.
Provide back-up support for other members of the department as needed.
Qualifications:
A working knowledge of the music business, especially radio, is a must.
Previous music experience, such as internships within the music industry and/or at College radio, is highly encouraged.
The candidate should also have a passion for music and the music business.
A qualified candidate should be detail oriented and be able to multi-task.
This is a high-stress position and requires the ability to juggle multiple projects and duties on a daily basis without getting overwhelmed.
It is also imperative that a candidate be able to communicate effectively. This position requires a great deal of interaction with other departments and companies, and great communication skills are a must.
Proficiency in Computer skills (Outlook, MS Word, Excel, Adobe Photoshop is a plus).
Strong written and oral communication skills.
Knowledge of Radio systems is a plus (BDS Encore, Mediabase, R&R, All Access, etc).
This is a fast moving, high intensity job that requires a quick thinking and bright individual. An ability to think on ones feet is just as important as being able to adapt to changes.
