Overview
Some of the typical job responsibilities include:
Calendar management: scheduling meetings, coordinating all meeting requests, ensuring Executive is not double booked and has space to actually do things in the day other than just have meetings
Schedule team meetings when necessary, coordinating conference rooms, video conference technology and time zones for various locations
Arrange for catered breakfast and lunches for meetings when necessary
Answer phones and act as gatekeeper for external requests
Act as liaison for Executive with direct reports and SFX colleagues as needed
Coordinate all travel arrangements typically involving domestic and international travel on a monthly basis following company guidelines for travel
Organize receipts & submit expenses on timely basis per company expense management policy
Assist with preparation of presentations as needed
Assist with personal errands from time to time
Work on special projects as assigned
Maintains office services by organizing office operations and procedures; preparing payroll; controlling correspondence; designing filing systems; reviewing and approving supply requisitions; assigning and monitoring clerical functions.
Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.
To land this job you’ll need to have:
Minimum of 2 years of relevant executive level support experience
Strong verbal and written communication skills
A talent for being well organized, detail oriented and great with time management
A tendency to be conscious of details other miss and a thoughtful manner with all you do
An ability to handle stress, pressure and demands with grace and tact
A personable, friendly, and positive-thinking demeanor
Proven ability to work with others to efficiently tackle teamwork-oriented tasks
Strong problem-solving and follow-up skills
Proficiency with Mac O/S, Google mail, MS Office and Keynote
Willingness to learn new things and research answers when necessary
Dedication to consistently producing high-quality, accurate, and thorough work
Willingness to work extra hours during the week and on weekends when needed
