This position is responsible for providing support to the President of Disruptor Management by effectively managing day-to-day administrative functions, establishing administrative procedures and guidelines and assisting in coordinating departmental activities and deadlines. This position also includes, but is not limited to, the following:
Responsibilities:
Administrative Support:
Handle heavy volume of incoming and outgoing calls, email, and mail; keep detailed records and logs of calls when needed.
Handle basic inquiries; review incoming correspondence and documents, and, where appropriate, request additional information and/or clarification.
Monitor President’s emails when appropriate and bring to the attention of the President any urgent or time sensitive issues for action
Manage calendars and scheduling of all meetings and conference calls according to levels of importance. Act as liaison with all internal and external offices. Greet and retrieve visitors from lobby when necessary.
Provide all other administrative support which involves prioritizing to meet strict deadlines. Oversee arrangements of travel and other accommodations, including comprehensive and detailed itineraries for President. Monitor and approve all departmental Employee Travel Requests and maintain staff vacation/whereabouts calendar.
Handle any accounts payable involving reconciling, submitting and tracking expense reports. Maintain and balance President’s T&E spending. Track all incoming and outgoing materials to President’s office. Ensure that budgets, press releases, and creative arts are approved in a timely fashion.
Liaise with Product Managers regarding plans for budgeting.
Coordinate and purchase artist gifts.
Act as Operations Liaison for Disruptor Management’s office to all of Sony Music.
Work with Operations to ensure that all conference rooms are prepared for meetings/showcases/presentations.
Meetings:
Provide administrative support for department meetings; take meeting minutes and maintain meeting record and project folders ensuring that they are updated with the most recent meeting minutes, action points, schedules and reports as appropriate. Update and distribute weekly meeting agenda. Prepare meeting materials and coordinate start of each meeting.
Setting up client meetings and working closely with key clients and their Executive Assistants. Be versed in dealing and interacting with high caliber executives and outside representatives from various industries.
Coordinate with Executive offices regarding all meetings.
Handle miscellaneous projects as requested by the President within specified time frames.
Qualifications:
Bachelor’s degree or equivalent combination of education and experience with a minimum of five years administrative experience, including two years at the executive level.
Must possess an ability to be able to prioritize and differentiate with multiple emergent situations that require immediate attention.
Strong computer skills are a must (MS Word, Excel, PowerPoint, Outlook)
Strong written/verbal communication skills
Excellent interpersonal skills and ability to motivate and influence others with diplomacy and tact in a diverse environment.
Must be poised and discreet, an independent thinker, reliable, highly organized, strong interpersonal skills, ability to work quickly and anticipate needs of the President.
Interest in marketing and/or music industry.
Knowledge and ability to interact with high profile artists, managers, etc.
