Overview
Responsibilities:
Full cycle accounts payable including full loan draw package to bank and investor including coding invoices, submitting for approval, cutting checks, scanning, printing reports and preparing final draw package.
Tracking budgets and understanding costs associated to each line item budget.
Responsible for writing, sending and tracking contracts, change orders and LOIs. Will also enter contracts into accounting system and track sent and received dates for contract log.
File Management: File project information, organize drawings, plans and project records and files.
Correspond with Vendors/Consultants regarding payment, invoicing and billing.
Organize Project Job cost meetings and print out Job costs reports.
Write professional letters to business associates, vendors, customers, etc.
Track and ensure all contractors / subcontractor / vendors have proper insurance and W9 on file before work is started.
Prepare monthly income statement, balance sheet, and statement of cash flow
Post month end closing entries as well as year-end entries including accruals, prepaid, and depreciations & amortizations
Perform Accounts Receivable functions including all intercompany billing reconciliations and payment collection efforts
Reconcile all balance sheet accounts including assets, liabilities, and member’s equity monthly
Assist with annual external audit including preparing rollforward schedules and fulfilling PBC list
Ensure local, state, and federal tax and accounting compliance including property tax, business tax, and sales/use tax
Prepare monthly and quarterly investor analysis reports
Office Management when on site:
Order office supplies
Keep office tidy and organized at all times
Must be a team player and be willing to jump into any task and get it done.
Qualifications:
Qualified candidates should have a minimum of 3 years experience in the construction industry preferably in the hospitality industry. He/she must be extremely organized, accurate and detail oriented. Must be comfortable in a fast paced, high energy environment. Our ideal candidate is knowledgeable in all areas of construction from site development through delivery and acceptance. Computer literacy is required and a four year degree in accounting is preferred. Timberline Accounting experience is a plus.
